Account

How can I log in?

To log in, first enter your organization’s homeserver address. Then, proceed using the login method configured by your administrator (such as Single Sign-On (SSO) or your username and password).

Can I register myself?

It depends on your server’s configuration. Some organizations allow self-registration, while others require an administrator to create your account. If you’re unsure, please contact your system administrator for assistance.

What is a username? Why do I need?

The username is used to create an ID, which allows to distinguish you from other users with the same display name. If your organisation uses SSO, your user id will be created automatically when you first login.

Why do I need an access code?

Because SalaX Secure Messaging uses end-to-end encryption in messages, you need an access code to decrypt old conversations when you sign in from different devices.

It is important to set a strong access code and save it in, for example, a password manager. If you forget your access code and sign out from all your verified devices, you will lose your conversations as no third party can intercept your encryption keys.

Note: you might not need your access code if your organization has enabled key recovery module.

Chat

How do I know if a message was read?

The users that have read a message are displayed on the right side of the message. Hover your mouse over the profile picture (or click on it on the mobile app) to view the users that have read the message.

Can I edit or delete messages?

Yes. You can edit or delete messages you have sent.

Can I send files or images?

Yes. You can attach files, images, and other documents to messages. The size limit may vary depending on the server configuration.

Can I mention someone in a message?

Yes. Type @ followed by the person’s display name or user ID to mention them. They will receive a notification.

Can I react to messages?

Yes. You can add emoji reactions to any message by clicking or tapping the reaction icon.

Can I reply to specific messages?

Yes. Hover over a message and click Reply to quote it in your response. On mobile, press and hold the message to open the reply option.

What is a thread?

A thread is a focused conversation linked to a specific message within a room or chat. Threads help keep discussions organized by separating replies about a particular topic from the main conversation.

You can start a thread by selecting a message and choosing Reply in Thread. All replies will appear under that thread, allowing participants to follow related discussions without cluttering the main chat.

Why can’t I send messages in a room?

You might not have permission to send messages in that room, or it could be read-only (for announcements).

Spaces and Rooms

What is a room?

A room is a shared space where users can communicate through messages, files, and media. Rooms can be private (invite-only), visible to space members only or public (open to anyone on the server or across federated servers).

What is a space?

A space is a higher-level structure that groups multiple rooms together. It helps organize related rooms by project, department, or topic. For example, a “Marketing” space could include rooms like “Announcements,” “Campaign Planning,” and “Reports.”

What’s the difference between a space and a room?

A space acts as a container for organizing multiple rooms. Rooms are where actual conversations and message exchanges happen, while spaces help keep related rooms grouped together for easier navigation.

Can I move rooms between spaces?

Yes. You can reassign rooms to another space if you have the necessary permissions.

What is the difference between direct messages and rooms?

A direct message is a private one-to-one conversation between two users. It is ideal for personal or quick exchanges that do not require a group.

A room, on the other hand, is a shared space where multiple users can communicate together. Rooms can be private (invite-only), visible to space members only or public and often include additional features such as permissions, topics, and moderation options.

Video and Voice Calls

What is a video room?

A video room is a special type of room that allows participants to hold real-time video meetings within SalaX Secure Messaging. There are two types of video rooms:

  • Internal video room. Allows meetings only between registered Matrix users within your organization or federated organization.
  • External video room. Allows you to invite external participants to a call without requiring them to create a Matrix account. The call moderator can enable a lobby or set a password to control access.

The chat history in an external meeting is temporary and will disappear after the call ends.

Can I use the Outlook AddIn to schedule SalaX Secure Messaging calls?

Yes. SalaX Secure Messaging provides an Outlook addin that allows you to set up and schedule meetings via SalaX directly from Microsoft Outlook.

Can I record a video meeting?

Recording availability depends on the server configuration. Check with your administrator to see if meeting recording is enabled for your organization.

Is screen sharing available in calls?

Yes. Participants can share their screens.

Can I use audio and video calls in chat rooms and direct messages?

Yes. You can start audio or video calls directly within SalaX Secure Messaging.

  • In direct messages, you can start a one-on-one call with another user.
  • In chat rooms, you can start a call with multiple people.

Are video and voice calls end-to-end encrypted?

No, video and voice calls are not end-to-end encrypted.

End-to-end encryption

What is encryption?

Encryption means scrambling data, such as files and messages, so that only authorized recipients can unscramble them. This is to protect data from being stolen or changed by unauthorized third parties.

What is end-to-end encryption?

End-to-end encryption means that your files and messages are encrypted (i.e. protected) during the transfer from one device to another. They are only ever decrypted on the recipient's device. This is to prevent unauthorized third parties from accessing your messages.

What is a "device"?

In SalaX Secure Messaging, "device" does not mean your mobile phone or laptop, but your SalaX Secure Messaging session. A new "device" is created every time you sign in to SalaX Secure Messaging and destroyed when you sign out.

What does it mean to verify a device?

Cross-signed device verification is used to verify the identity of the conversation participants and their devices.

In SalaX Secure Messaging, you can see every device that has joined an encrypted conversation. If a new device joins, you can use device verification to make sure that the device belongs to a right person.

What happens if I lose my encryption keys?

If you lose your encryption keys (for example, by signing out of all verified devices without a backup or forgetting your access code), you will lose access to your encrypted messages. If your organization has enabled the Key Recovery Module, you may be able to restore your access.

Federation

What is federation in SalaX Secure Messaging?

Federation allows different SalaX or Matrix servers (homeservers) to communicate securely with each other. This means users from one organization can chat, share files, or join rooms hosted on another server without creating new accounts.

How does federation work?

Each SalaX server is identified by its own domain (for example, matrix.company.com). When federation is enabled, servers exchange messages and events through the Matrix protocol using secure HTTPS connections. This allows communication across servers while keeping user data stored within each organization.

Why is federation useful?

Federation enables secure collaboration between organizations while maintaining control over data. It allows cross-organization communication for projects, partners, or clients, without compromising end-to-end encryption.

Who controls federation settings?

Federation settings are managed by server administrators. They can enable or disable federation globally, restrict connections to approved domains, or block specific external servers.

What is a trusted homeserver?

A trusted homeserver is an external Matrix server approved for federated communication. Administrators can whitelist trusted domains to ensure collaboration only with verified and secure partners.

Can I message users from another organization?

Yes. If federation is enabled and the external server is trusted, you can start a chat by entering the user’s full Matrix ID (for example, @username:partnercompany.com).

Can federated messages be end-to-end encrypted?

Yes. It is possible to enable end-to-end encryption in federated rooms and direct messages.

How do I know if a room is federated?

Federated rooms usually include members from multiple domains. You can check the member list — if users have different domain suffixes (for example, @alice:companyA.com and @bob:companyB.com), the room is federated.

Can I restrict federation to specific partners?

Yes. Administrators can define an allowlist of trusted servers or block unwanted domains to ensure that only approved organizations can federate with your server.

Can I disable federation completely?

Yes. If your organization requires a fully isolated deployment, administrators can disable federation globally. This prevents all external communication.

Is data shared between federated servers?

Only data necessary for communication (such as messages in shared rooms) is exchanged between federated servers. Each organization retains ownership and control of its own users and stored data.

Clients

On which platforms can I use SalaX Secure Messaging?

SalaX Secure Messaging is available as a:

  • Desktop application for Windows and macOS
  • Web application
  • Mobile application for Android and iOS devices.

Can I switch between dark and light themes?

Yes. SalaX offers both dark and light themes on every clients.

How do notifications work in SalaX Secure Messaging?

Notifications alert you to new messages, mentions, and calls. They appear on desktop, web, and mobile clients where you’re signed in and allowed notifications.

Can I customize notifications?

Yes. You can customize your notifications.

Why am I not receiving notifications?

You may have muted the room, enabled Do Not Disturb, or disabled push notifications on SalaX Secure Messaging or your operating system. Check your settings or contact your administrator.
